I have used When to Work for about 6 years. It started just online, but now that there is an app, it makes like EASY!
Pros
This software is so easy to use! It is the best thing that has happened to scheduling. All I do, is download the app to my phone and I can see my schedule and who is also working. Working for a company with 3 hotels, this makes communication easy. You can send a message to anyone on your team so you don't have to give your phone number out to everyone. Your boss can also post a message to everyone to see too. Now there is no excuse for someone to say "Oh I didn't know I had to work" because it is literally on your phone that you look at everyday!
Cons
There really isn't anything that I don't like about When to Work. I think it's great!

Pros
This software makes scheduling employees very simple. I also like how you can see everyone's schedule in addition to yours.
Cons
The formatting feels outdated. The site works well, but it needs to improve on its look.

Pros
I have been using WhenToWork as a lifeguard for my local recreation center. It always alerts me by email my schedule for the coming week with the dates and times. It also has a feature with names, numbers and emails of your co-workers to get in contact with them.
Cons
I don't like how the supervisor has to approve of shifts you pick up for other co-workers before you can actually start their shift.

Pros
It works really well! Though I did not purchase this product, it was used at my old job, so I was an "employee" in the system (as opposed to an admin). It let me email who I needed to email, trade shifts, and i rarely had any errors.
Cons
It looks like it barely survived the dot com boom. It's 2019, so I expect sites to be mobile friendly, easy to use, and quick. Though their iOS app was...acceptable...their online experience was just not that great. It did the job, but the software does not make it enjoyable.

Pros
I liked this software because it was easy to request time off and to see your full schedule with a click of a button. It was great being able to see who else was working with you that day and even switch shifts if need be.
Cons
The mobile browser version is not as user friendly as it could be. The fonts could be bigger in order to see and read everything easier.

Pros
As an employee I did not have anything good to say about this software besides ability to link to other calendars.
Cons
Adding your availability or time off was extremely difficult. Had to click the save button before moving on to another day, which was not intuitive at all. This created scheduling problems for me.

Pros
WhenToWork is easy to use and quick to implement. I use this for my small team (6-10 people) intern team. The staff members didn't have any issues using the software to check schedules, trade shifts, etc.
Cons
My team members have set schedules weekly with very little change - I wish I was able to assign a reoccurring shift without creating a new weekly schedule.

The main benefit would be having all scheduling conversations, requests, trades, etc all in one location. No random text messages or phone requests. It all goes on WhentoWork and easy to keep track of.
Pros
The most appreciated feature on WhentoWork would be for the staff to request and approve their own trades. This feature makes it much easier than management trying to find coverage. We also love how easy it is to use colors for quick glances on who is working when.
Cons
The only con when using WhenoWork is the busyness of the main page. Many options on views and such are a bit overwhelming to navigate through - especially when we rarely use more than 5 functions.

I like how fast everything operates and it focuses on the main thing that I need most which is when is my next shift.
Cons
The menus can be annoying to navigate at times and it takes a while to get used to. I think that the UI can use some improvement.

We have been with When to Work for about 10 years. It has been very helpful with our schedule management. While it doesn't automatically integrate with our payroll system, it has also been beneficial as we "manually" compare the data each week.
Pros
The best part of this system is how easy it is to create dynamic schedules for multiple employee groups. In our environment we have employees that often fit into two or more groups and they can be assigned as such.
Cons
We are a 24-hour operation with some of our employee groups. Many of our shifts transcend the normal "day end at midnight" scenario. It would be better if the system accommodated these types of things.

Easy to check my work schedule. I can even log into the phone fine. Always available never crashed. Can't really complain about this product honestly.
Pros
One great thing about this product is that it shows you when you are working next. Whenever I forget my hours I just log into whentowork and check my hours. There is also an option enabled so that you can just see your own hours or everyone else's hours. Since I work part time this tool is great and I am so grateful it exists.
I also like how you can import it to your calendar if you have one anywhere else.
The calendar view is great!
Cons
Nothing really to complain about this software really. There are a lot of other options on this website like contact manager, request time off,...I don't use any of that functionality because of our companies protocols. Adds a bit of clutter to overall design.

Essential to The Busy Workplace

Pros
I must say that the ease of use of this software and the mobility that it allows one to have is incredible. To be able to create an entire schedule for the staff at the office and the ability for them to review and approve their schedules remotely from their smartphones make this scheduling software a must for any workplace environment that requires people to be on the move constantly. Staff can also request time off, check compensation time balances and also send messages to each other in order to get shifts covered.
Cons
The only thing that I can say that I do not like about this software of ease of use when replacing someone on a shift. It can be a little confusing so you do have to pay extra attention to making sure someone is placed in the correct category.

This product makes it easy to communicate schedules, open shifts, and any changes to the schedule without having to send a million emails.
Cons

I love the ease of access with this program. Makes building staffing schedules very quick and easy. The interface is very user friendly as well.
Cons
I wish there was a way to be able to see all recipients on messages. There are times that staff members will message me and I forward the message to someone else who tells me that they already received the message,

Pros
It is easy to post a shift for trade, take a shift, communicate with fellow employees, etc. The website and mobile app both work great.
Cons
This software does not integrate with our POS which is our main scheduling software. When people clock in, they need to use our main platform. Therefore, any changes made in WhenToWork have to be manually entered into the other database. This creates a lot of extra labor for admin staff.

Pros
The simplicity of the design and layout of the administrative area plus the scheduling of employees into their shifts is very simplistic. I could see how this could be made into something super clicky but W2W decided to take the logical approach.
Cons
I have yet to fall into a problem for my use of the software. I manage a call center so the calendar views with numerous titles to tasks has been extremely helpful in my position.

WhenToWork is an intuitive scheduling software on both the user side and the admin side. Lots of display preferences and options to see other employees' schedules. Text and email notifications for when a schedule is posted and/or modified.
Cons
The tradeboard interface is not user friendly. It can be hard to determine who has already traded shifts or if the shift is still available.

I have been using When2Work for 4 years now. Prior to that, we used excel spreadsheets. This product has greatly decreased the time it takes to produce a schedule, and the headache of distributing the schedule to all employees. This product put the responsibility of scheduling on the employee, not the manager. I sincerely mean it when I say this product has increased my productivity and decreased my frustration. My employees love it as well. They can swap shifts, put in time off requests and message each other.

Pros
This is a great software to use when you have multiple employees that you need to schedule. It is very customizable. It's great that it contacts employees for you when their schedule is completed so they are not relying on you having to tell them what it is. It is nice that employees can also log in any time to look at their schedule. They do not have to go into work to check it.
Cons
It would be nice if there was an option to copy a week and be able to paste it to multiple weeks rather than just one week at a time. Quite often we have employees who work the same shifts.

We use this at work for up to 100 employees and it is a great way to keep schedules accessible.
Cons
None that I can think of. It functions well and is web accessible from anywhere.
