Notion has completely replaced my notebook!

Overall, Notion is an indispensable app for our company. I've even started to use it for my personal life and side projects. It's really the best note organization app in the market.

Pros

The beauty of this application is that it can fit whatever requirements you would need from a notebook. You can define your own templates, you can define how every page looks. You can. even define who can view what you wrote.

Organization is a breeze with the number of pages you can nest under each other. We have found that opening a page for each project works best.

Cons

There is simply no cons for this software! My colleagues and I use it every day without fail. We even share pages of it to our clients.

Best workflow management tool out there

I can not recommend this software enough, there is a small learning curve, but once you master the platform, it will be gamechanging.

Pros

This software is a combination of Evernote, Excel, and PowerPoint. While I believe the team initially developed the software as a sophisticated workflow management tool, it has evolved into so much more, it is nothing short of a CRM tool that can be used in any business in any industry. The robust nature of it's features and the ease at which you can mould your workspace to suit your needs or business is beyond anything any other software has been able to develop.

Cons

There isn't necessarily an effective forum set-up for the Notion team to interact with its super users to gain feedback from them on what works and what doesn't, what future features could be extremely beneficial and understand how the software is used differently depending on the industry.

Most advanced tool for note taking

Overall, this is one of the top tools for organising digital content, managing, and increasing productivity for both my personal and professional life.

Pros

Notion's adaptability and versatility are some of its most notable characteristics. It may be used as a task manager, project management tool, note-taking app, and many other things. For both professionals and students, it also provides a variety of formatting options and the capability to include photographs and other material into notes. Apps for all the main desktop and mobile operating systems are available through Notion, which also provides outstanding cross-platform support. Ease of usability for a new user is somewhat low. One has to spend time understanding the features and all the shortcut techniques to use it more efficiently.There’s no feature to annotate the notes using apple pencil.

Pathbreaking Knowledge & Productivity Tool

It's super customizable to whatever job you want done. From being a store of knowledge, tracking a project, keeping personal notes, ideating & strategizing to even collaborative learning - it does its multiple jobs without breaking a sweat

Cons

There are some text-formatting features that could be worked upon, as well as having deeper integrations with existing APIs would eliminate the need to have most other SaaSs I use right now.

Flexible tool that needs polishing

Overall even if it lacks some functionalities regarding integrations I think it's a very good software that can help you almost with any need (to some degree). Maybe if I needed it for something very specific I would consider using software that's focused on it because it would probably handle things better.

Pros

I love how flexible it is. You can use it for almost everything you need: Collecting recipes, task planning, project planning, and budget planning. It's nice and you can really see that the people who are developing it put a lot of thought when doing so. Usability is good and it's very intuitive overall.

Cons

I feel that lacks some basic things: For example, every time I have to edit a text to change the colour, font size... I need to click and select, which slows down the process a lot. Also, it freaks me out so much that in the lateral navigation, if you have a page, you can expand it even when it doesn't have child pages. If I have a page that doesn't contain other pages just remove the expandable option.We've tried to use it at work but we dropped it when we realised we couldn't synch it with Jira. I think it would be very very helpful and a great way for designers to switch from Confluence to Notion and have everything centralised in one place.

Notion - Just Amazing!

Everyday note-taking, organization and brainstorming tool

So far it has been a great experience for me and my team. Notion has turned into an app that is always open on the computer, just like the email client.

Pros

In our case as a digital assets and marketing company, we need to keep track of many clients and projects. The database feature in Notion allows us to create custom databases where we can filter, search, update and share easily with our clients.

Cons

Maybe it's because of our business type, we don't use Notion for our own project management tasks. However, we discuss and collaborate every day in Notion to deploy our project management tasks in another tool.

The best and worst of Notion

Overall it's a great app, I just wish it would be faster and also easier to navigate.

Pros

Notion is an extremely flexible software. Thanks to their databases and multiple views like calendar, Kanban, tables and lists. I found it to be extremely intuitive and fun to use. I can definitely see how it could replace a google docs and be a central place for your team.

Cons

So the big elephant in the room... Notion can be slow at times, especially when using it on my phone. I would spend a lot of effort just trying to switch between pages. When I would type in it I felt that my text was not in real time. Also on Mobile sometimes I couldn't highlight text due to a bug on their side. This goes against the productivity it is trying to create.

Also the way it works with folders, it very quickly becomes far too many different places and I would need to think about where I need to put the specific note I'm working on, vs actually just writing the note. I think that it would be far better if notion stopped relying so much on folders and rather just made their search and internal linking more streamlined.

Notion: The Best FREE Note-taking software to date!

Ultimately, I would recommend Notion to anyone in an instant. It has a suite of features, user-friendly UI and organisation benefits. Furthermore, the personal subscription recently became free for everyone and the business prices are reasonable, giving people no reason not to use Notion. I believe that Nation can fit into many workflows very easily due to its plethora of features.

Pros

Notion is absolutely brimming with useful features and is the Swiss army knife of note-taking applications.

The overall software is so minimalistic and intuitive to use that I personally learnt it within a few days. The whole software revolves around using "/ " to create blocks and edit text; for example, a /toggle would create a toggle block which acts as a dot point except that you can hide/show it. This makes the learning curve of notion virtually non-existent and creates unparalleled flexibility in the structure and style. I find that the simple and uncluttered UI helps clear my mind and focus on the current task.

The data management is superb with extensive sorting, classification and customisation features for the spreadsheet and databases functions. The timeline features are also an extremely welcome addition in the recent updates and allow for the seamless moving of date-specific records.

There are countless useful templates as well which certainly help give me ideas about what I wanted my Notion notes to look like.

Cons

Some features make little sense and unfortunately cannot be disabled. One of these issues occurs when clicking on a page in a table and it opens up as a tiny square and you need to press "Open as page," to make the page full screen. This is just a small annoyance and is honestly not that big of a deal.

Another lacking feature is the scarce customisation options for text formatting however there are solutions to this through Google Text Fonts. There are also a few limitations of the free Personal Plan but if you needed the full collaborative features of Notion, your company would usually pay for that.

The offline mode for Notion is frankly quite bad as you have to preload the pages when you have internet beforehand. Otherwise, your notes would be inaccessible. However, this isn't at all a deal-breaker as there is usually internet everywhere. Notion has also indicated that they are focusing on this problem for future updates. The mobile app is also sluggish at times but it is mostly alright.

A vital tool

The initial learning curve* is sooooooo worth it; I now manage just about everything through Notion. For me, it's the '2nd brain' that the likes of [SENSITIVE CONTENT]
bang on about (and with good reason) - I'm more organised, more productive and less stressed.

*Only to use it more extensively; if you just want an Evernote or OneNote alternative, it's as easy as they are)

Pros

Enables me to record, note and plan things in whatever way works best at the time, and then find it again, instantly!

Cons

As a new user, it takes a little planning to maximise some of its benefits; I needed to rethink the structure behind many things that had previously existed purely as notes.

All in all, Notion is top of the game when it comes to customization. No longer do you have to take an off-the-shelf software and adapt to it. With Notion, everything adapts to your needs and stays always customizable. A must for any user looking for freedom and structure at the same time when it comes to organizing your thoughts, life, project and products.

Pros

There‘s not much Notion can‘t seem to do. You can easily adjust it entirely to your liking - however, there is a pretty steep learning curve. Once you got it, though, the sky is your limit. Create as many pages as you‘d like, nest them within each other, shake up your hierarchy and even link databases onto other sites. The creative freedom concerning the hierarchy of your pages is phenomenal.

Cons

Lots of time spent getting to know Notion‘s myriad of options which results in a lot of studying early on and in a pretty steep learning curve. Luckily, there are tons of useful resources and learning videos including templates you can use and customize to your liking.
I really wish it had a better stylus/pen integration for quick and easy hand-written notes.

OneNote - especially the Class Notebook - is great for teaching when you want to provide a clear set of hierarchy to your team or students. But using it for my personal organisation just never worked for me. It was too rigid with its narrow Section Group > Section > Page > Sub-page limitation. With Notion, I can simply nest as many pages within each other as I please - which is a game changer for me.

The ultimate knowledge sharing tool

I tried Notion first with it came out. I did not made the switch from Evernote, my personal "knowledge base" at the time. Then I gave it a second chance after seeing it being used by productivity experts and was actually amazed. My personal workflows changed from day one. I could not stop thinking into turning more parts of my life into ordered processes. I dumped my yearly account on Evernote right away. Then I pushed it to be used in my new founded company. We managed to organize ALL the company inside Notion. I continue to be impressed

Pros

The product is just right. They got it at a somewhat unexpectedly hard problem: note taking is not about note taking, but about mental models and processes. They got it right. They added the features those app needed, to replace whole tools categories such as project management and tracking, knowledge databases ... even no-code public site drafting! The care they put into the product is amazing, full of details. The community and templates, amazing. UX is great from onboarding.

Cons

There are some missing features. Mainly, an API to boost integrations; that will be great. Also, databases, formulas, relations ... need a few second-level yet-important features. All that is in the roadmap, so I'm happy to wait.

The holy grail of organization

Notion is my second brain at home and at work. It has definitely improved my workflows and helped me organize all the different areas of my job, related resources, even scheduling, into one platform. It's not yet a full replacement for something like Evernote or Airtable, but it currently has the best of both those platforms, and I believe it will soon overtake them.

Pros

I have used Notion for personal projects since it first came out. Recently I have started migrating my work documentation and databases to Notion, and I'm very impressed. The ease of setting up relational databases within notes is unmatched in any other software I've used.

Cons

There are some small features that Notion does not yet excel at. Currently there is no way to view a calendar view of a database in any view other than month view, which is a small complaint. I know the Notion team is working on improving offline functionality as well, as it is pretty reliant on a steady Internet connection, which hasn't been a problem for me personally.

A great platform with amazing features

I really enjoy working with notion. I think you can easily replace many different tools with just one product and have a better overview of all your projects within one platform. We use it mainly with G-Suite and Slack. It is one of our main tools and I would't want to miss it in my daily routine. I think it is an amazing tool for collaborating but also gathering and elaborating ideas.

Pros

I am a huge fan of notion. We use it company-wide as our intranet but also internally for project management, private and business notes as well as a collaboration tool in our marketing department.
It is really dynamic and flexible and allows you to integrate many other products like, Google Docs/ Drive, Slack etc. You can configure each page in various ways and adjust the format to your needs.
We also share it with our external coworkers and limit the sharing settings to singular pages or whole workspaces.
We use it cross-departmental and plan our Marketing sprints with it.

Cons

It has a lot of features which can very easily overwhelm you, when you start working with it. I recommend to have a handbook on how to use it and also setup some guidelines on the most important features to your company. There are still so many things, I do not know!

Goodbye Google Docs, Hello Notion! - A story of a workplace leader

Pretty great thus far. As a workplace leader, our team uses Notion for our internal team to store office info for our various offices. Creating an office guide is extremely important for our culture, especially now with remote work. If anyone is traveling to an office and needs to know "where should I park? how do I get to the office? what is our lunch program?" all information is organized on Notion per office location. Employee experience is one of my biggest priorities, and Notion helps me organize all this information and keep our employees informed.

Pros

Notion quite frankly does it all - it is an area to organize and store information, it provides a platform to collaborate with cross-functional partners, task-management for projects, plan internal events, ETC!

Cons

At times, formatting text / pages can be difficult as a first time user, however once you get the hang of it its not too hard. I looked up a few youtube tutorial videos on how to format pages easier. Perhaps Notion could offer some instructional videos on formatting!

Great versatile tool for businesses and personal use

We use Notion for a lot within our org, but mainly knowledge management. It's easy to organize and find your documents and document your processes to share with your team as a central hub. One of my favorite tools out there and indispensable really.

Pros

The best thing about Notion is its flexibility, that you can customize it to work as almost anything in your day to day, whether its note taking, documentation, knowledge storing or anything else.

Cons

Task management and collaboration can be improved, especially task management needs to get a big upgrade to be able to replace dedicated task management softwares for larger teams. Notion's big benefit, its customization abilities holds it back because although there's hundreds of templates, you do have to set it up and really educate your team on how to use it within your own organization's context, something dedicated task management solutions do for you. I never have to worry if someone "gets" Asana, but if I were to replace Asana with Notion I'd have to really educate my team on how to properly use Notion and all its tools. It's a fine balance to strike but overall Notion is doing a great job at it.

Perfect Solution for Task Management, Project Planning and Goal Setting

As someone with ADHD, Notion is the perfect solution for setting up my own unique and personal workflow. Being able to customize my workspace and plan projects in a way that makes sense to me has made me so much more productive and organized. Although the learning curve is a bit steep, Notion provides many resources and articles that provide enough instruction to figure most things out.

Pros

Notion is an endlessly customizable platform that is somehow simple at the same time. I use Notion as a database, task manager, project planner, and overall life planner. I am able to set goals for myself and have those goals plastered on the homepage within Notion so I am constantly reminded of where I need to direct my focus and attention. Since using Notion I have successfully been able to track my goals and have accomplished many things that I never would have thought possible.

Cons

The software can be glitchy and updates from the web version don't always transfer automatically to the app and vice versa. The task management functionality leaves much to be desired and recurring tasks and reminders are not a built-in function of the platform.

Best Life OS there is

It's absolutely brilliant. I love the product, and love taking inspiration from other people who are using the product. There a many open source templates that you can use and organize your life on top of them.

Pros

I first started using Notion at my workplace, where we had all our documentation in the notion workspace. It was really easy and inspiring to go thru the documents across company functions. Notion is the best thought organizer there is. Its easy to use and has excellent compatibility with other tools as well.
I plan my holidays, website content, design system, documentation, etc all in notion.
Special shout out to its Tables Construct which is by far the most amazing scalable piece of the software. Its got kanban view and gallery. All of which accommodate my keeps to a large extend.

Cons

The mobile app isn't optimized enough yet. It's a bit slow even on newer phones.

Must have tool if you are a solo creator!

With all the pros and cons I outlined, I still love Notion and what it does to save my brain space. I just cannot live without Notion.

Pros

The best part of Notion is its Kanban view with capabilities to add great deal of notes, tags, keywords, dates, custom fields, within each task. My workflow would be a spaghetti if Notion didn't come to my rescue. I have made my move from maintaining a simple plain vanilla Google Spreadsheet to Notion and never looked back! All my YouTube video planning happens within Notion. And so is the case with my dozen other projects.

Cons

The first thing that stands out for me is its non-intuitive Folder - Page structure.
The other annoyance happens within different views - whenever I want to see my data in a table view, the list doesn't make sense to me, although I was the one who created it. Another problem with table view is that when my rows grow in number, I had to scroll all the way down while the table itself takes time to load with every scroll. That micro-second waiting time is actually eternity in digital time.
One additional irritation is that its mobile app is kinda slow. I just don't feel like even opening it on my mobile unless I really need to refer something real quick. Otherwise, I use just the web app 99.9% of the time.

Pros

There's so many things that I love about Notion. A good starting point is that Notion can be used for so many things. Note taking, planning, journaling, project management is just a few. Personally, I use it for daily planning, keeping track of my assignments and planning college work and studying for exams. I also use it for project management because I can easily track and plan projects in the same place as I keep my resources.
Another great pro about Notion is all the available templates that you can customize. If you are going for a more professional look or if you want an artsy aesthetic look, you can change it to any way you want. Most templates are free but there are paid versions that you can buy as well.
Notion is also supported on many devices so you can just view your plans on the go. To add to that, there's many free widgets you could use to add to the various features in Notion.
Notion has in built databases, Kanban boards, to do lists, tables, and so many features that you can tweak and use in so many ways.

Cons

The only con about Notion is that its not very beginner friendly. It can take a while to get used to all the features and how to use them efficiently. Setting up Notion to how you want it can take a bit of time but this is worth it in the long run. There are many tutorials which you can use to learn and starter templates that you could use, but if you want something very specific and is a picky person it might take time to set things up. Using things like databases requires a bit of knowledge so I would suggest looking at a few tutorials before deep diving into customization. The good things is that the tutorials are abundant so you won't be lost. Putting in the time to get exactly what you want is definitely good for the long run.
