One of the Best Accounting Software for Small to Mid-sized businesses

Quickbooks online is our main tool and resource to have a quick snapshot of our accounting, sales, taxes, and profit/loss reports. Also, Quickbooks is our invoicing software and CRM.

Pros

The onboarding and migration of our company data from an offline software to Quickbooks Online was way faster than we expected. Aside from that, QuickBooks has been our main and preferred accounting and invoicing tool since 2018.

Cons

I believe Quickbooks Online reports are not that customizable like the offline Quickbooks versions. Also, there are differences managing multiple companies. We need to create and buy separate Quickbooks Online accounts for each of our companies and with the offline versions we just had to buy one set of licenses, that allowed us to manage multiple company files.

Less features than Desktop/Enterprise

The setup was terrible. Going from Desktop to online took a lot of work and the payroll had to be entered manually instead of being included in the import. I spoke to multiple different support people regarding the setup of payroll source deductions and they all gave me pretty much the same answers and in the end only the last person I spoke to actually knew what I wanted and was able to tell me that it's not an option. From the beginning when I spoke to the first person who was setting us up on the trial, they told me that I would be able to set up the source deductions - which I explained in detail and said was essential. I went through all the work to set up payroll manually only to find out that I wasn't able to set up a deduction exactly as needed.

Pros

Ease of access from anywhere and the ability to have more than 1 user

Cons

The ability to add customizable deductions is limited. Could not set up source deductions for pastors.

Very glitchy online version. Poor sales tax integration with Avalara

Pros

Ability to search invoice history and to work online.

Cons

The integration with Avalara is horrific. Glitchy. Error codes. Constant refreshing. And very confusing that it lists tax below the subtotal when you already have a line item with tax. Clean Integration with sales tax software is a must in today's ecommerce climate. QuickBooks Online won't work well together with Avalara in order to make this smooth for users! Very tired of the glitching!

Best for billing clients based on project time

The overall experience of time tracking really depends on specific need and how well it fits into existing workflow. Quickbooks Online has afforded a great experience and I have had consistent billing for repetitive tasks albeit with slight modifications.

Pros

I use Quickbooks Online for personal work and expense tracking. Most of my projects are billed time on time spent on the project proportionately with the overall project. I struggled in trying to workout this kind of billing with several other accounting softwares and Excel templates became a bit limiting for me. Time tracking in Quickbooks is very helpful especially for tracking time spent on different tasks and projects. With the customizable timer feature, I am able to customize the timer to fit each specific task, include additional notes and descriptions for each entry documenting the nature of the processes involved etc. The time tracking feature is available as well on a mobile app which easily allows to track time on the go. Finally, the customizable reports allows me to see how much time I have spent on different task and how much I have invoiced for that time.

Cons

I think the main challenges I have found with the time tracking has been sometimes getting the billing accuracy. This has been because all the tracking is not that automated meaning any simple error can go unnoticed and affect the overall billing. Additionally, it is not highly customizable to fit almost all projects and sometimes I am forced to use other tools to manage the project.

Great Choice for Small Businesses

Pros

I like that it is accessible from anywhere and easy to use. It's great that you can connect your financial accounts and auto-import your transactions. It's easy to teach my clients how to use it as well.

Cons

Intuit has made many improvements over the years so it more closely matches the desktop experience. The only downside is it can occasionally be glitchy and there are limits on number of accounts, products etc. on some versions.

Great Software for a Small Business

Overall I love QuickBooks Online and have plans to use it for a long time.

Pros

I use QuickBooks Online for everything money-related with my small business. From invoicing, to expense tracking to tax preparation it comes in handy and makes my life much easier.

Cons

Invoicing is the feature I use the most and I do wish that the invoices were a little bit easier to customize.

Cons

Quickbooks Online from Anywhere

Way back when, in the day, I used Quickbooks desktop. Was good then too but couldnt see when and where I wanted the status of my financials. NOW, I can. I can link right up with my accountant. If I mess up the process, he can fix it before it gets out of hand.

Pros

I see the status of my financials from anywhere on my Mac, Windows, Ipad Iphone. So easy to just take a look anytime.

Cons

What I like least is that there are not many CPAs or accounting professionals using it which limits the professional pool.

20+ year user of Qucikbooks

Overall I'm happy with QB's online, we save a lot of time as I mentioned before on data entry. I just don't pout my really compicated clients in the software, I keep them in desktop.

Pros

I love how quickly the data entry goes in QB's online versus QB's desktop. With rules and auto entries it take the tedious parts of accounting and automates them. I'm able to focus my time on more complicated items that add value to my serives to my clients.

Cons

It still needs a lot of work on the developement of the software. You are unable ot customize PO's, which is insane to me. It's a little hard to get used to when coming from their sister product desktop. Desktop is so rubust and had very little flaws that I somtimes find myself banging my head gainst a wall, like why?!!

Also, the subscription based pricing makes it so you always have ot pay for the software. With desktop I bought it once and none of my clients had to pay for it. Way to make money intuit, now but that money back into the developement of the software!

Overall a great choice for nonprofits

Overall I am very pleased by my experience with QBO. While I struggled with initial implementation, it has very much streamlined financial management once I figured out how to more efficiently utilize the software. The flexibility of using QBO through my browser of software download is an immensely important feature that I cannot overstate - since my position is volunteer/unpaid, if I ever leave the organization they cannot be tied to a software downloaded on my personal laptop. Plus its just nice to know that I have access anywhere I need, regardless.

Pros

QBO has made it so much easier to stay on top of finances for the nonprofit I work with. It's so nice to add bills for reimbursement of expenses to stay on top of when the expense occurred as well as when the reimbursement check was written vs deposited. Automatic linking to my bank account and to paypal is a lifesaver. I don't know what I would do without locations or being able to use classes for fund reporting/functional expenses.

Cons

There was definitely a steep learning curve, and I've just had to accept that some of the transactions I was doing when I first started weren't done in the most 'ideal' way. I'm adding historical finances for 8 years and struggling with handling inventory in particular, since I'm both trying to keep up with current purchases/sales and build the historical financial statements. While the QBO online forum is generally helpful for troubleshooting issues, sometimes I run into features that just aren't available on QBO and only on QuickBooks desktop which is incredibly frustrating when I know how useful it would be.

We were practically unable to do any reasonable financial analysis. The historical treasurers used the cash method without breaking out actual expenses rather than reimbursement checks, so we lost so much detail that I'm now trying to recreate.

Quickbooks Serves It's Purpose

It's a somewhat love-hate relationship I have with Quickbooks. Love more so though. I have gotten used to a lot of Quickbooks' quirks now. It was a difficult go to get started to get things set up but I had support. I've been using Quickbooks for a few years now. I like how clean and organized invoices look for clients and how I can customize them and emails. I appreciate recurring invoices that help to avoid user error on consistency in repeat services and in sending invoices on time.

Pros

I like the ability to customize how invoices and emails look. I appreciate the ability we had to import our clients' details and past invoices when we started up with Quickbooks. The plethora of reports and customizable reports are very useful. I also appreciate being able to process payments through Quickbooks. The search ability is decent helpful in looking for specific invoices, amounts, or other specific data.

Cons

It was quite a challenge to get everything up and going when we started with Quickbooks
There are some features that are limited and seem to operate oddly, such as deleting some clients vs marking some as inactive. If I have completed services with certain clients, I want to keep their data, but mark them inactive. When I mark them as inactive, the system puts them in a state of "deleted", which makes me very concerned when I see that. I don't want to lose their data. Also, some duplicates of clients have been created or clients never started services with us. So that data was just bloating the system and a bit confusing sometimes. Those particular clients would be good to actually fully delete them. I've run into processes that can be very confusing. Luckily my accountant is able to help me through the challenges.

Too many problems with the Software and poor support

First, when I moved my business from Quickbooks desktop to Quickbooks Online, it cost me thousands of dollars in accounting fees to fix all the errors that QBO introduced. The transition was a nightmare, and took months to sort out. Inuit was ZERO help during this time.

Since then QBO has gotten worse, not better. There are constant sync issues with bank accounts and credit cards, and QBO staff always recommend that you call your bank or credit card company. But these are QBO issues, and can only be resolved by QBO engineers, sometimes with the help of the bank or card company in question. It's ridiculous to ask a consumer to get involved in those kinds of issues, and a complete waste of time.

I have had numerous times where a credit card purchase showed as being processed, but only months later we found it didn't and lost the money - thousands of dollars in total. QBO and Intuit Merchant services take no responsibility.

Recently QBO forced Paypal as a payment option, and users cannot turn it off. But payments come in with no name associated with the payment. QBO insists this is a paypal problem, but it is not. A client receives an invoice online, pays it online, and then Quickbooks cannot match the payment to a name, but won't let you turn off paypal as an option. If clients pay an invoice just using your email, using paypal without QBO, then payments match. Clearly QBO has a big problem here.

Pros

It is convenient when it works. You can theoretically sync your bank accounts, credit cards and client payments, saving time in accounting and eliminating a lot of data entry

Cons

Merchant Services is expensive and unresponsive. The software has many bugs, and often won't sync with accounts for days or more. Tech support is hit and miss, and often I will resolve an issue before they can. In line ads are extremely annoying, and QBO treats its customers as a product, rather than a customer. There is no service level agreement and Intuit takes zero responsibility if they lose your data. They no longer have a phone number you can call. You have to wait for a callback, and many times they don't call back.

Top Financial Management App

It’s been an amazing experience because it organizes all of my costs and data. I don’t spend as much as I used to now that I categorize my business and personal costs. It’s always a good sign to keep the personal costs and see how much I need to save each time I get paid. I categorize all of my direct deposit as business costs and the money I spend when I got shopping as personal costs.

Pros

This app is great for those who own a business or is self-employed and likes having one app to store all the data on costs. I love being able to choose whether the cost is business-related or personal. The bank accounts are all linked to this one app and I can keep a record of what goes in my account and what is spent. I keep a track of every cent I use and spend. My favorite is seeing how much I earn and how much my business profits within a year.

Cons

Sometimes, the bank accounts get disconnected due to internet issue last and it can take a while to link the accounts again. The accounts get disconnected for unknown reasons even if I don’t change my account information on the bank account site. It can take a few hours to a few days to reconnect and retrieve the costs.

For the most part I really like the software, there are just a few things that aren't as handy as the old desktop version. They periodically do different feature updates that for my portion of the accounting don't really enhance my job or make it easier.

Pros

I love the fact that I don't have to do manual backups! I love that it is accessible from any computer. It is a huge help that I am able to scan and attach invoices, comes in very handy when I need to double check payments made.

Cons

From an accounting standpoint the fact that the program doesn't recognize if an invoice was previously entered by the invoice number is something I really miss from the old desktop form of the software. On this software you could enter the same invoice number in 10 times and it would never "see" that the invoice was previously entered. This causes a lot of back and forth between the vendor account and bills window which takes extra time. The only other comment I have is concerning the reports section. I am not a trained accountant and on the old desktop version it was far easier to generate reports.

QBO Accountant

Overall, I am happy with the product. they also have live chat now, and they can call you if you need to talk to someone. Customer service definitely is great improvement over the years. It is big for me because I refuse to work with any software company that I cannot talk to anyone (hint hint Zenefits). And most of the time they get it resolved over the chat. Recommended

Pros

Love the bank matching function, makes the bank reconciliation 10x better if you do it right. It's very easy to navigate the system, for beginners, it's the easiest system I used so far for them to pick up. Make sure if you set up, you don't use the simple cheapest version if you own a business tho, it's cheaper but the reporting is not as good as essential and above. I have implemented qbo for all my small clients that doesn't need a big system for POs

Cons

I have mixed feeling about the auto categorization, some bookkeepers gets lazy and thinks it's correct and just click add, which half of the time can be wrong especially when it comes to use project and classes. it's a great function to make our lives easier, but also makes people lazier. I made sure to train my employees to not get lazy and check every transaction

Bookkeeping software for dummies like me

Pros

I was able to get up and running with bookkeeping quite quickly; I expected it to be difficult since I had no knowledge of bookkeeping, but it wasn't. I have used it to run payroll, send invoices, manage expenses, receive payment, etc and find it all to be very intuitive.

Cons

For my web design business, Quickbooks is all I need as a bookkeeping software. But for my husband's trucking business, it just lacks some necessary functionality and we found a more elaborate tool was needed ... which was too difficult for me to figure out, so for his business we had to outsource the bookkeeping. But I still use Quickbooks Online for my own more basic business.
I find the desktop app that you can install (to connect to the online version) is often unstable and becomes unresponsive. I also find that there is confusion between my Quickbooks Online account and my TurboTax account (both are made by Intuit), when I change my password for one, it changes my password at the other site as well .... weird and took me a number of lockouts to figure out what was happening. Best to use separate email addresses for each of the tools I think.

Quickbooks Organizes Our Church's Finances

QuickBooks has made the financial experience for our church so much easier. It's super easy to create reports for board meetings and see where you are financially.

Pros

I love how it connects to your bank account and transfers all of the transactions to it. Being able to categorize every transaction makes things so much easier. No need to type everything in manually! Reconciling is a breeze!

Cons

There's a huge learning curve for this software. However, they have great customer support. In the beginning, I had to stay on the phone with them for a long time to learn how to use it. Sometimes, customer support doesn't know how to use the software specifically for your needs, but they usually do a great job!

Great accounting software for small & large businesses

I use QBO for my own tax practice bookkeeping as well as for my clients. I use it daily to keep up with my firm and my clients. We all use the bank feed to facilitate automatic entry of as much data as possible.

Pros

QBO allows users to easily enter their financial transactions. It even has the capability to enter most transactions for the user from the bank feed. You can let QBO import your bank activity and use rules that you set up to code the transactions appropriately. It makes reconciling your bank statement a complete breeze!

Cons

There are some issues with payroll that can only be corrected by calling in to Customer Support. I find this annoying when I personally know and understand how the correction needs to be made. I do, however, understand that not everyone understands the ramifications of making corrections.

I'm happily married to QuickBooks

I think the future is digital and it's time that we all dropped our fear and start keeping our records online.

It’s very possible that your hard disk could crash but Quickbooks will still be there storing your records.

I recommend Quick books to small and medium-sized companies.

Pros

Before I began using QuickBooks, my biggest fear was that we were going to entrust a cloud with our money.

Personally, I was hesitant for a long time and so was my company. But after that, we decided to take a leap of faith and use QuickBooks. We’ve been happily married to this software ever after.

So here is why I like QuickBooks

It’s invoicing feature is amazing. The feature automatically invoices our customers and brilliantly matches the invoices to the customers.

Quickbooks takes payments, bills and compiles reports for everything

And while Quickbooks is doing this, everyone on the accounting team accesses it with ease.

Cons

Quickbooks crashes a lot and limits access to a few number of people. That's why I don't recommend it to big firms.

QuickBooks Online Ease of Use

It's a love/hate relationship with QBO. I love the functionality and the possibilities of what it can do, but absolutely hate it when there is a question I need an answer to. I have tried for 4 weeks to convert our payroll over to a new QBO Payroll program and have yet to get everything completed. Every time I make a little progress, another question pops up and I have to spend at least 1-2 hours with a rep to get help. Unfortunately, our third-party tech support does not specialize in payroll, so I have no other options but to be at QBO's mercy.

Pros

It provides an excellent option for payroll processing and federal/state tax reporting. The reports options are great.

Cons

The customer service is horrible, and answers are confusing once a person does answer to help. After many countless searches and help desk responses that did not provide adequate results, we started using Real World Training's support. They provided a two-day tutorial on all QuickBooks basics and help out on live, real-time sessions as needed.

On the expensive side for small entrepreneurs

Overall, Quickbooks Online had the items I needed, but their recent software and price changes have pushed me into a version that lacks what I need and leaves me with unnecessary, bloated accessories. There aren't many options out there that sync as well with online shops. QBO should consider allowing a small inventory and budgeting option for the less expensive versions and listen to their customer's concerns more.

Pros

I appreciate the easy connectivity with apps so I can connect my e-commerce shop. The layout makes the difficult task of financial management not seem so overwhelming. Reconciling with my banks is convenient and matches my transactions well. I also depended on it to aid me in tracking sales tax.

Cons

The software's selection of options with each plan is ridiculous. I started with the Plus version to keep track of a small amount of inventory, although most of the products I sell are POD. I also appreciated the budgeting aspect. They started adding extras such as mile-tracking, and now they sync with Mailchimp, but I already have a cheaper mile-tracking app for my business and sync with Mailchimp through my website. During the pandemic, they increased their prices (horrible timing for small businesses) and forced me to scale down to the Simple Start version. This version doesn't have the inventory function or budgeting (something that should be standard across the board).

To make matters worse, for the six years that I have been using the program, they have yet to fix an issue with the sales tax part, specifically modifying the start of a sales tax calendar. This issue has caused headaches for me every year, and no one will address it when I, and many others, bring it up.

Thorough, organized bookkeeping software with plenty of features

Overall, Quickbooks has been very valuable to my business, easy to use for both clients and myself, and organized in terms of layout and use. However, I wish the fees charged for processing payments were lower.

Pros

For my business, I send monthly invoices, so Quickbooks' invoicing feature and the ability to accept all kinds of payments is a must for my business. I find the invoices simple to create, and they look professional and attractive on the customer's end. I also like that I am able to customize the invoice template easily so that I can modify how it appears to the customer. My clients have not had any problems paying through Quickbooks' invoices, and most of them actually prefer to pay this way rather than through other methods such as cash or checks. I like that I am able to select or deselect payment methods for each individual customer. Quickbooks' system has simplified my payment process and my clients are satisfied.

I use the Quickbooks Online feature of adding my accountant to my account for no additional cost, and I like this feature because if I have any problems or questions, I don't have to try to explain in detail each concern; instead, my accountant can just log into my account and view any discrepancies herself. This has been a lifesaver on multiple occasions.

Another feature I like is the ease of use with categorizing bank transactions and expenses. Quickbooks suggests categories and automatically matches most transactions that it estimates are paid invoices. They are correct the majority of the time, and this makes matching payments to invoices a breeze. I also like the records that Quickbooks makes, such as records that show my profit and loss by month.

Cons

While Quickbooks is very critical to my business and makes bookkeeping easy for me, I do find the payment processing fees a bit expensive. I suppose the fees are on par with other payment processing systems; however, at the end of the month, it is a bit surprising to see how quickly all of the individual payment fees add up on top of the $25 I pay each month to have Quickbooks Online. My complaint about this software would definitely be the fees associated with payments my customers make through Quickbooks.

A constantly moving target, but works well for basic SB accounting needs...

We initially moved from QuickBooks Pro Desktop to the Online version to allow for our new Online Service Management System (RazorSync) to easily export invoices into QB for processing. In that regard, QB Online has worked well and met expectations. It's obviously an evolving product and there have been many changes to it over the time we've been on the service; some good, some not-so-much. The reporting module is very limited and unless one of the canned reports is close to what you want it's a struggle to obtain some information in a format that's useful. All those issues aside however it's been a good solution for our company and we expect we'll continue to use it.

Pros

It's wonderful to have access to our accounting system from any Internet-connected device. Integration with our Service Management System (RazorSync) has allowed us to turn Service Orders into invoices and send them via QuickBooks Online quickly and easily, which has absolutely improved how quickly we get paid on jobs. The Payroll module makes it easy to pay our employees and calculate the necessary withholding and taxes due.

Cons

The reports in the Online version are clunky and horribly limited. Recently Intuit modified what was included in the package we were in and limited the number of accounts we're allowed to have in the Chart of Accounts without paying a higher fee, so we're stuck not being able to add new accounts unless we want to go to the "next tier". Last year we needed to reprint some older tax forms that weren't showing up so we were forced to contact support for assistance. We finally got what we needed done but it took contacting two different support reps as the first one obviously wasn't familiar with the product and made changes to our accounting data that had to then be fixed by the second rep.
