Collaboration, backup and automation

Sharepoint has allowed me to be more efficient in different ways, with many of its functionalities, I generally hope that one of them will allow me to make a process more collaborative, controlled and at the same time automated.
Currently the entire organization has access to use the software, in the same way the introduction and migration to Sharepoint from local servers has been gradual, mostly due to people's resistance to something new and unknown. In my department specifically, has been a greater acceptance, integration and discovery by constant learning by some team members who are not exploiting all the advantages of the software yet.
Pros
Permission management: This is super relevant and wonderful for controlling what your audience can see and do, for example, when you need someone to constantly see changes to a "living document" but not have the ability to intervene in the process.
Contact groups: I find it super good since not necessarily the site administrators are the only ones who can manage the group, you can make any member of the group can manage the rest of the members without this being involved in other site settings . Also when granting permissions, distributing documents, announcements, tasks, it is very easy to do it by group of contacts than one by one.
Version history: We know that we are exposed to errors and accidents, so having the previous versions of a document, being able to see who has modified and having the possibility of restoring any of those versions can save the day. I always feel that I am protected and that is why I always promote working in the cloud.
Cons
Please provide some detailed examples of areas where MS SharePoint has room for improvement. These could be features that are hard to use, missing functionality, or just things that you'd like to see done differently.
Modern view / classic view: I really appreciate the minimalist change that has been made with many of the menus in the latest versions of sharepoint, but most of the time it complicates me and generates many more clicks (much more time) wanting to do one This action can be done by changing to the classic view from the ribbon, for example, managing permissions for a site, being able to manage sharepoint groups.
A little more advanced configurations, without becoming complex that depend a lot on the IT department.
Descriptions of some options or settings can become confusing, complicated and you simply are not able to know if it is what you are looking for or not, the language to the user is sometimes understood only through trial and error.

I love MS Sharepoint and all the accessibility it provides for the use of collaboration, productivity, and task management for myself and colleagues working on multiple projects.
Pros
I enjoy the integration of all MS Office tools housed in one area that I can access without pulling up multiple windows or software. I also appreciate the collaboration and features it provides for individuals in a hybrid workspace.
Cons
The only issue I have had thus far with the software is the overwritten data that I needed, and I did not receive much support online.

We had hoped that Sharepoint would offer the cloud-to-local sync functionality and performance of Dropbox, but with integration with Office and Excel. In reality, its bugs and inconsistent syncing make it a highly frustrating and a miserable experience for our staff. Dropbox offers some Office and Excel integration and in our testing its simpler and works more consistently. We will be switching to Dropbox Enterprise within the next few months. This is sad, because Sharepoint comes "free" with our Office and Excel licenses, so it just ends up being something we paid for in the bundle price that will sit on the shelf.
Pros
SharePoint integrates with Office and Excel, which are tools we use regularly. It serves as a cloud-based central file store, and you can open files from it via the web browser or use its sync utility to sync the files locally similar to Dropbox. When it works as intended, it's a passable experience.
Cons
There are daily failures by Sharepoint that add up to a miserable user experience. The biggest issue is the sync utility. On a daily basis there are problems with local changes syncing back to the cloud, or cloud changes syncing locally. We work on Macs, which I suppose is understandable that our platform wouldn't be as well-supported, but we do pay the same money that Windows users do. The integration with Finder is passabe, but the icons for "synced" or "up-to-date" are not always accurate. Also, the utility that shows you what is syncing is not always accurate. I can save a file locally and watch that utility and I see no sign that my change is syncing to the cloud. On a weekly basis, we have a user open a file from the web browser only to discover that some other user had saved a version of the file that never synced. Also, the web browser file views frequently load folders with empty file lists, you have to refresh to see the files, which is just problems with basic usability.

SharePoint works passably well in a large, centralized organization. It does not work so well when rapid, dynamic versioning is needed for a small group.
Pros
Sharepoint offers a viable alternative to other cloud-based document sharing platforms with the added bonuc that it integrates fairly well with Teams.
Cons

I currently use it to archive old client data. I have found One Drive to be easier for me work with for current files.
Pros
I like Sharepoint for being a secure location to have all your documents in one place in the cloud. And I like the ability to share documents via a link with both team members and outside parties. I like the ability to use metadata tags to facilitate searching for documents.
Cons
I find it hard to set up and did not find it to be very user friendly. It is not easy to get assistance or guidance as to the best approach in the setup. We were told by our consultant NOT to use a folder structure, but a Microsoft employee told me that was not good current advice.

Upload speeds can be slow, but we've managed to use Sharepoint folders as helpful places to store, transfer, and collaborate on files. Some team members miss the simplicity of dropbox or google drive, but we're managing with Sharepoint.
Pros
The 365 suite is the standard for many organization with cloud based team work, and it does allow for this in some ways that weren't around a decade ago. It works - you can share files between team members, and that's the key thing.
Cons
It's not as intuitive as it should be. Maybe I'm too used to other ecosystems, but I find that Microsoft products have too many ways to get to the same common places, and then convoluted ways to get to specific places. In my use and rollout of it, almost every meeting has a few minutes of "where is that file again?" or "Oh, I thought I put it in the main folder, but it must be over here somewhere...". We can usually get it to work, but it's not a seamless experience, and it's Sharepoint feels less like a great tool to use and more like a necessary evil if you're in the 365 world.

This is the second business where I've deployed Microsoft SharePoint. I find comfort in knowing that the features, while sometimes complicated, are robust enough to grow and adapt with the changing business environment. Overall, I have more faith in the program than I do with other programs that looks similar on the surface. Despite frustration in trying to learn about new features and encouraging employee "buy in" for the program, I am overall satisfied with the product.
Pros
The cost is relatively low for SharePoint when combined with Teams and other Microsoft applications. The integration across users, platforms, and programs is extremely useful in a modern-day business environment. I know that there are more features than I can imagine, and that I've barely scratched the surface of the program. This means I can count on it to always have features that will expand with my business's needs.
Cons
Features I like the least: difficult to learn how to deploy its robust features without seeking professional consultation. Hard to share and incorporate our system with users outside of the organization; this occasionally causes confusion.

I would recommend it to any business looking to move there data from an on premises solution, into the cloud.
Pros
Migrating to the Sharepoint cloud is easy with the official Microsoft migration tool and having your business data stored in this secure manner is reassuring. Syncing documents to your computer locally via the OneDrive client is one of the best included features.
Cons
Whilst the OneDrive client integration is one of it's best features, it can also be the worst at times. There is still much work to be done by Microsoft in terms of the solution's stability. The access control list functionality also needs simplifying as it often contradicts itself when moving between the modern and classic UI's.

I have personally had mix results. We ultimately made the decision because of the blended Office 365 costs, reducing our FSS-specific contract with a 3rd party vendor, who happened to be a leader in the space and had a far richer UX.
Pros

Cons

We use it as our intranet, to share information about projects, tasks, opporunities or rather static content to display information about various departments.
We have a lot of customers who use it mainly as a document management system or also as a intranet solution. Especially the SharePoint Online version is very easy to adapt and has great integration with Microsoft 365.
Pros
Offers a ton of features, you don't have to use all of them but they are there if you need them. It can be used for document management (DMS) or even CMS for intranet purposes. It has a powerful search engine, you can manage complex permission scenarios, there is also the possibility to manage records, litigation holds, taxonomies, and more and more.
With the new modern UI users can also even more simply edit pages, place web parts on them to display different content like, text, images, videos, news feeds, document libraries, lists etc.
If you don't go the on-premise but the SharePoint Online route, you can save yourself the hassle of installing it on your own and have a very easy access to a powerful tool for collaboration or to simply display information.
Cons
Has some kind of a learning courve. Can be complex, especially if you want to take it to the next level and start to customize it. On-premise version is rather expensive and needs an IT professional to set up and also it should run on multiple servers and also MSSQL which adds to the license cost.

Pros
I use this program at my workplace. I find it especially successful in terms of providing many opportunities. I can access files and limit other users while accessing other applications. This is done via OneDrive when sharing files. It's nice to have storage space here. Having team sites is a great convenience when using it with employees at work.
Cons
Collaborating this application with people with different mail extensions is challenging. Also, OneDrive sync can be very slow and disruptive sometimes. I can't find the file while showing that the files are uploaded, that's the downside of the program in my opinion. Sometimes I have problems with access. I used SharePoint over several years and saw its evolution and its strengths. I was a little shocked, when the external websites were given up, because I liked the same design principles for Intranet end internet. Now as Teams is the „Eier legende WollMilchSau“ German Word for „can do it all“, I see, that the focus is gone from SharePoint over to Teams and every AddOn is created for Teams, no more SharePoint.
Pros
After a period of time to get used to the product, you find every day new features to improve your Workflows. If you have only been used before to files and folders, you see how easy it can be, to find the file your worked last on, to keep track of changes and versions without renaming files and storing them in different folders. You see, when someone edits something in the same document and you can comment on their changes. Cooperation at its best. By searching older files or archiving files, that are no longer needed, you keep track of what is happening in your company. You can create structures for new employees, to find their way through existing structures. Explain the way of working together. You can have many intern devices or bring your own device and with one single login, you can work immediately on all those machines.
Cons
The learning curve needs to be planned in advance, because the way of working does not change on its own. People who never experienced all the new possibilities will not start to use them, if not shown, with a clear structure and policies from the beginning onwards. The need for an experienced instructor is clear especially in the installation and configuration phase. Because the IT department needs to be involved as well as the head of each department. The instructor has to ask the right questions, to get to know the existing way of working and to advice for the new way of working and that implementation for it.

My overall experience with the software has been really amazing till now. Intially, it took some time for me to understand the interface since it is a bit complex but once I got a hack of it, I can now say that this software is really helping me work seamlessly and saving a lot of my time during my day to day files sharing with my clients.
Pros
Microsoft SharePoint is one of the top file sharing platforms right now. The primary reason why this software is my personal favourite is that it has the capacity to share very heavy files ( I have tried till 400MB) with our clients. This exclusive feature is not supported by most of the other platform as there is always a size cap till which one can share a file with the client. Also, the file upload time is very less onto share file as compared to other applications available in the market.Last but not the least, the best feature that I like about this software is that it can add n number of people in a specific project within sharepoint.
Cons
There are very less cons about this software product. However, if we still want to mention, I would like to mention that the when we click on the sharepoint , it takes quite a lot of time for the home page to load/ be visible. this is time is very large as compared to other file sharing products that are available in the market since their URL's come up very fastly on to the home screen. Last but not the least, I would also like to mention that the Sharepoint's interface is a bit confusing, it takes some days to understand how things are working on this software which is not the case with other softwares.

Our project is using Microsoft SharePoint for long years (and my previous project in earlier organization too!) and felt comfortable using this product which includes file versioning, sharing across teams, calendar/task sharing, review documents online, integration with multiple Microsoft products like Microsoft 365, Microsoft teams, Microsoft PowerBI, Microsoft Project for project management, Microsoft Visio for designers, Microsoft OneNote that enhances the data security with protected encryption via 2-factor authentication methods. Also our team made different customization on share point server which comprises visual effects of colors, fonts, graphic modes, Power automate workflow modes (that saved major cost to our project). We used Microsoft One drive, Microsoft Teams to share project documents in effective manner.
Pros
Flexible to use across any user or large group in the organization, specially in company intranet environment. It allows social networking as well to collaborate across different user groups like developers, designers, business analysts. According to business needs, it can be customized to view the specific content in the design. In terms of project management, it allows to share user calendars, multiple task notes and project trackers. Consolidation of internet and intranet collaboration of sites make the business users easy to use. SharePoint server allows programmers to develop API jobs to automate the day to day business functionalities that reduces the cost to entire organization. Centralized administration allows hassle free system settings, easy work flow navigation settings, effective back up and restoration of data incase of data corruption or manual deletion of data by mistake. The user productivity will get increased through real time collaboration that includes document versioning that avoids duplicate files, cloud support, document notification for managing different file system types.
Cons
The ROI is pretty average compared with other document management products in the market. Not available to preview the document files. The URL keeps with folder names so it annoys when user has long file folder/file names on it. Training aid is mandatorily needed to do more administration settings.

Small, medium-sized, and large enterprises with multiple teams and collaboration programs can all benefit from SharePoint. Furthermore, setting up a SharePoint is rather simple for an enterprise with an IT department.
Sharepoint has helped me become more efficient in a variety of areas, and I'm hoping that one of its functions will allow me to make a process more collaborative, controlled, and automated. Currently, the entire organization has access to the software, and the transition from local servers to Sharepoint has been gradual, owing to people's apprehension of something new and unknown.
Pros
SharePoint is particularly user-friendly when it comes to co-authoring. Simply open the online version of the document you want to edit, and you'll be able to make changes to the content while others in your team do the same. This feature makes it simple to manage shared documents and provides visibility into who is making changes and when.
The capacity to communicate and work with anyone within our firm, as well as the option to transfer information outside of it, is tremendously beneficial.
SharePoint crams a lot of functionality onto a single platform, making it a powerful tool for teams that can integrate it with their existing processes. It may take some time to learn everything there is to know.
Cons
Even though your Office 365 subscription includes a free SharePoint online license, you'll have to pay for further customization, deployment, training, and administration.
You should think about integration concerns ahead of time because they may add time and cost to your project, and there's a potential that if it fails, it will reduce employee productivity.
SharePoint may be overkill if you're searching for a simple document management system. It is, however, a terrific alternative if you're searching for a dynamic platform that gives excellent flexibility and simultaneous collaboration, as well as the ability to scale up with your growing organization.

A robust collaboration platform
Reviewed on 20/09/2022
Pros
The best thing about Sharepoint is how well it integrates, not just with Microsoft products like Office 365, Teams, AD, OneDrive, etc. but also with 3rd party tools like SAP, Adobe, Jira, etc. I really like the fact that it encourages live collaboration, especially when used with Office 365 to edit the same documents by multiple people. The content management functionality is also top-notch. It's effortless to customize and modify quickly. From the security standpoint, it has all the bells and whistles of other Microsoft products, like MFA, password policies, at rest and in-flight encryptions, etc.
Cons
As someone who had the misfortune of setting it up, Sharepoint migration and setup can be a daunting and complicated task. You must do extensive research and/or work with Microsoft partners to configure it. Otherwise, you are bound to run into issues, which can be very challenging to troubleshoot. However, if done right, it results in a very powerful tool.
The other thing to be mindful of is the cost. Both the licensing and the support can be expensive.

My overall experience with SharePoint has been incredible, as I have been able to understand various advantages including, yet not restricted to, the capacity to work with team members on various tasks continuously, the capacity to store documents of different formats, and the capacity to share the previously mentioned records straightforwardly from the stage through email easily. I applaud for this help and would without a doubt prescribe others to check it out as well as it is definitely justified.
Pros
I'm working with SharePoint for all most 2 years, and it's an extraordinary device for managing information. A portion of the incredible component that I like most is my data is put away in the cloud we can undoubtedly get to it from cell phones and workstations or work areas. Also, we can accomplish ongoing work on a similar document utilizing SharePoint. We don't have to send a document on different occasions and revise over and over work on the single record. We incorporate SharePoint with our MS Groups and we can undoubtedly work on a document going on the program and our data is programmed on SharePoint. This is an extraordinary element of SharePoint. The stage is adjustable and exceptionally coordinated. The one significant in addition to point is that you can alter the Microsoft Word/Succeed/PowerPoint documents online without downloading a disconnected duplicate, and the teammates can see changes continuously.
Cons
With an ongoing accentuation on marking drives, our organization sees a developing need to have consistency across each of the stages we use. However there are numerous customization choices inside SharePoint, we need more. Having the option to add our own textual styles on the website. We can achieve what is expected to set up the website, yet having more choices would take into consideration a greatly improved client experience and a more current shift focus over to the webpage.
